How MinistryPlan works

Take a look inside before creating an account. We walk you through how members book shifts, how administrators set up events and carts, and show concrete examples.

Getting started

Three steps to your first booking

1

Create an account

Register with your email. Pick your congregation from a searchable list — if it already exists you can apply, otherwise you can create it yourself.

2

Get approved or invited

An administrator approves your application, or invites you with an invite code. You won't have to wait long.

3

Book shifts

See available times for events and carts. Book, cancel and see who you're partnered with — all in one place.

Example · Event with circuit overseer

Circuit visit · Week 24

The circuit overseer John & Jane Doe visit the congregation for a week. The administrator sets up shifts where members can book time for personal talks, field service or shared meals.

Several shifts per day

Set up different types of shifts on the same day — field service, personal talks, meals and public talks.

Lunch as its own shift

Lunch is added as a separate location with a limited number of seats so families can sign up and help with the food.

Custom capacity per shift

Each shift can have a different number of seats. Personal talk has 1, field service 4, lunch 6.

Example · Large event

Summer festival 2026

A recurring city event with several days and several tents at the same time. The admin can share an event code with other congregations so their members can book shifts too.

Shared between congregations

Several locations at once

Add tent A, B and C as separate locations. Each location has its own color, capacity and schedule.

Event code for guests

Share a code with another congregation so their members can book shifts — without joining your congregation.

Password-protected link

If you want to share the event widely, the link can be locked with a password that you give to invitees.

Example · Cart booking

Carts in your congregation

Set up your literature carts and the locations where you usually stand. Members then book their shifts based on the schedule — no phone calls needed.

Weekly schedule per location

Set a recurring schedule for each location — e.g. Mon–Fri 9–6. The system generates the time slots automatically.

Link carts to locations

Got several carts? Say which cart belongs to which location and how many are required per shift.

Exceptions and closures

Close a location for a single day or open extra hours — without changing the whole schedule.

For administrators

Everything you need to lead

Invite members

Create single-use codes or links with a limited number of uses. Or approve applications manually.

Several administrators

Share the admin role with others in the congregation. You can all approve, set up events and manage carts.

Revoke permissions

Need to pause someone from booking? Revoke their booking right without removing them from the congregation.

Cancel on behalf of others

As an admin you can remove or move bookings if someone gets sick — directly in the booking view.

Inspiration

Other ways to use the system

Rides to meetings

Add cars as locations with the number of free seats. Members book a seat on the route that fits them.

Help for the elderly or sick

Create shifts for cooking, shopping or visits. Families book themselves in for what's needed.

Safe handling of data

Only you, your congregation administrator and the master admin can see your data. We send no newsletters and you can delete your account whenever you want. Read more on the help page.
